Position: Regulatory Officer

KEY RESPONSIBILITIES
New Product Registration Submissions (Pharmaceuticals & Medical Devices): Prepare, compile, review and submit high-quality dossiers (e.g., eCTD format) for new product registrations to national and regional regulatory authorities. Develop regulatory strategies for new products to ensure the fastest possible time to market while maintaining compliance. Coordinate with suppliers for all required documentation in line with PPB guidelines.
Maintenance and Lifecycle Management: Manage the timely preparation and submission of license renewals for existing products registrations to prevent market disruptions. Handle amendments to existing Marketing Authorizations (MAs) due to changes in manufacturing, labelling, or other factors.
Regulatory Authorities Liaison and Follow-up: Assist in follow-ups and communication with the Pharmacy and Poisons Board (PPB). Coordinate and prepare timely responses to regulatory queries, deficiency letters and requests for additional information from authorities.
Imports/Exports Regulatory Compliance: Support the application and tracking of import and export permits for all products. Ensure all product packaging, labelling and Patient Information Leaflets (PILs) comply with local regulatory standards and approved artworks.
Regulatory Intelligence and Compliance: Monitor changes in the national and international regulatory landscape (e.g., changes to registration requirements) and communicate the impact to relevant internal stakeholders.
Products Advertisement & Promotional Materials: Manage the timely preparation, submission and follow-ups of products advertisements and promotional materials approvals with the regulatory authorities.
Compliance and Governance: Ensure compliance and governance with relevant policies and procedures.
QUALIFICATIONS & EXPERIENCE
• Diploma or Bachelor’s Degree in Life Sciences, Chemistry or a related scientific discipline.

KEY RESPONSIBILITIES
Reporting: Maintain records of sales, marketing and sponsorship expenses, as well as other field activities, and submit monthly reports to the Category Manager. Assist in planning business proposals investments and local activity, and keep a track record of the same in terms of return by providing reports on a weekly, monthly or quarterly basis.

The team leader will prepare a launch calendar based on new registration received or expected and coordinate with the category and sales teams for timely implementation of launch activities.
Controls & Regulatory Compliance: Ensure adherence to internal controls, governance, SOPs and compliance.
Stock Control: Ensure sufficient stocks are maintained at all supply chain levels. Coordinate with category teams for timely processing of purchase orders as per lead time.
Adaptability & General Support: Demonstrate initiative, resilience and a proactive mindset, embracing change and supporting additional sales and marketing responsibilities as may be assigned by management in alignment with evolving business needs.
QUALIFICATIONS & EXPERIENCE
• Bachelor’s Degree in Science or any other equivalent qualification - a biological science university graduate with a valid PPB license.
• Previous experience in the marketing of pharmaceutical products is preferable.
• At least 8 years of field sales experience in the pharmaceutical industry with a refined ability to coach and motivate the sales force.

KEY RESPONSIBILITIES
Payroll Administration: Process monthly payroll accurately and on schedule. Financial Planning & Budget Control: Prepare and manage medical promotional budgets by brand, activity and region. Monitor actual vs. planned expenditure on campaigns and educational events. QUALIFICATIONS & EXPERIENCE
• Bachelor’s Degree in Pharmacy, Biomedical Sciences, Clinical Medicine, or related life sciences.
• Postgraduate qualifications in Marketing / MBA are a strong advantage.

KEY RESPONSIBILITIES
Inbound: Verify the correct quantity and type of goods received and move them to their designated areas in the warehouse. Label and scan each item for accurate record-keeping, load and wrap stock securely on pallets, and systematically enter all incoming goods data into the Warehouse Management System (WMS).
Outbound: Prepare customer orders for delivery in line with set standards and timelines. Verify item accuracy, including batch numbers and expiry dates and ensure picking bins are replenished promptly. Double-check outgoing orders for proper packaging, labeling and documentation to guarantee safe shipment.
Compliance: Adhere to warehouse policies, SOPs and all applicable regulations including QHSE standards to maintain a safe and compliant work environment. Keep the warehouse tidy, free of debris and organized for efficient operations. Take accountability for goods allocated to you, ensuring proper handling to prevent damage or loss.
QUALIFICATIONS & EXPERIENCE
• Must have a Diploma/Certificate in storekeeping and management.
• Post-secondary training and/or relevant certifications.
• At least 2 years of experience in a warehouse or logistics role.
• The role involves manual lifting, moving, loading and offloading of heavy stock; therefore, applicants must be physically fit..

Harley’s Limited is looking to fill the position of a Team Leader within its Commercial business unit. The candidate is required to have over 8 years of experience in pharmaceutical sales. This is a highly motivated and results-oriented role, reporting to the Head of Commercial.
In this senior leadership role, the incumbent will be responsible for leading the Retail Pharmacy sales team, with the aim of optimizing the sales, profitability and market share of Harley’s products in an efficient and effective manner. KEY RESPONSIBILITIES
Reporting: Track sales, expenses, sponsorships and field activities. Submit regular performance and investment return reports to the Head of Commercial.
Service Excellence: Build a strong company image and stakeholder relationships including Doctors, Pharmacies, Distributors and MOH Officials, while coaching and engaging the team to consistently meet service excellence standards.
Business Strategy: Support market strategy development, identify growth opportunities, and ensure full execution of product marketing, campaigns and customer coverage plans.

Adaptability & General Support: Demonstrate initiative, resilience and a proactive mindset, embracing change and supporting additional finance or accounting responsibilities as may be assigned by management in alignment with evolving business needs.
QUALIFICATIONS & EXPERIENCE
• Bachelor’s Degree in Science or any other equivalent qualification- A Biological Science University Graduate with a valid PPB license.
• A strong Pharmaceutical industry background with solid product and market knowledge.
• Minimum of 8 years of experience in pharmaceutical sales, with proven sales achievements.
• Strong knowledge of retail pharmacy customers and distribution channels.
• Excellent negotiation, communication skills, with the ability to engage vendors and internal stakeholders professionally and resolve issues collaboratively.
• High level of integrity, discretion with financial data and the ability to manage competing priorities while maintaining accuracy and meeting deadlines in a fast-paced environment.

KEY RESPONSIBILITIES
Marketing: Analyse tenders to understand requirements and use insights to benefit the company. Develop and align buying processes for each account. KEY RESPONSIBILITIES
Order Receiving and Verification: Receive customer orders from the warehouse and verify their accuracy, quantity, condition and documentation in preparation for dispatch.

Documentation and Handover: Prepare and hand over accurate delivery documentation to the delivery team, ensuring acknowledgements are signed and returned as proof of delivery.

Reporting and Record Keeping: Maintain detailed and accurate dispatch records and submit required operational reports. Notify the direct supervisor of any incidents, damage, or discrepancies encountered during loading or delivery.
Coordination and Communication: Liaise professionally with internal teams and logistics partners to ensure smooth dispatch workflows and escalate any issues affecting delivery timelines or customer satisfaction.
Compliance and Safety: Adhere to all company SOPs, safety protocols and hygiene standards during handling, loading and delivery processes. Participate in audits and training as required.
General Dispatch Support: Provide additional assistance in receiving, offloading and dispatch tasks during peak periods or in the absence of team members and perform other duties as assigned by Management.
QUALIFICATIONS & EXPERIENCE
• The minimum requirement is a KCSE certificate.
• A Certificate and/or Diploma in Logistics or Supply Chain will be an advantage.
• At least 1 year of experience in a dispatch, logistics or warehouse environment.
• Good understanding of delivery processes and basic inventory handling.
• Proficiency in WMS and ERP systems is essential.
• Experience in handling pharmaceutical or sensitive goods will be an advantage.
• Fluent in English and Kiswahili.

• Valid and current Pharmacist practicing license.
• A minimum of 2 years of experience in pharmaceutical sales, medical promotion, or healthcare marketing, preferably with reputable pharmaceutical or healthcare companies in Tanzania.
• Excellent verbal and written communication, strong presentation abilities and interpersonal skills to engage healthcare professionals and ethically influence prescribing behavior.

Position: Warehouse Biomedical Engineer – (Nairobi, Kenya)
Harley’s Limited is looking to fill the position of Warehouse Biomedical Engineer within its Healthcare Technologies business unit. The ideal candidate should have 2 to 4 years of experience in biomedical equipment management, warehouse operations and technical support, preferably within the Pharmaceuticals and Medical devices industry.
In this role, the incumbent will be responsible for providing technical support in the management, handling, quality assurance and readiness of medical equipment within the warehouse. The successful candidate will play a critical role in ensuring that all biomedical devices are received, inspected, stored, tested and prepared for dispatch in accordance with company procedures, manufacturers' specifications and industry standards.

KEY RESPONSIBILITIES
Inventory Control: Maintain accurate records of all biomedical equipment, spare parts, accessories and consumables within the warehouse. Monitor stock levels and perform regular inventory reconciliations to ensure accuracy and accountability. Support inventory planning by monitoring stock availability and coordinating the replenishment of critical spare parts and consumables.
Compliance and Documentation: Conduct basic functionality tests and pre-delivery inspections of medical equipment before dispatch. Ensure all required documentation is accurate, complete and maintained in accordance with company procedures and regulatory requirements.
Quality testing for inbound and outbound: Perform quality testing and functional verification of inbound and outbound medical equipment to ensure compliance with manufacturers' specifications and company quality standards.
Technical Support and Coordination: Coordinate the activities of Technical Engineers and the Warehouse team. Support equipment dispatch planning by confirming the technical readiness and completeness of orders. Assist with troubleshooting, repairing, reassembling and preparing biomedical equipment for deployment, where applicable.
QUALIFICATIONS & EXPERIENCE
• Diploma/Bachelor’s Degree in Biomedical Engineering.
• At least one year of experience working in a warehouse environment.
• A minimum of 2 to 4 years of experience in biomedical equipment maintenance, technical support, warehouse operations or medical device management.
• Practical knowledge of medical equipment inspection, preventive maintenance, troubleshooting and basic repairs.
• Experience in inventory management, asset tracking systems and warehouse operations will be an added advantage.
