Harley’s Ltd is looking for a proactive and dynamic Facilities Assistant with over 3 years of experience to join its team. The successful candidate will be responsible of administrative tasks, coordinating maintenance and supporting smooth facility operations, including cleaning and hygiene, landscaping, compliance management and responding to requests from other departments. The Facilities Assistant will abide by the Harley’s code of conduct and values, always maintain highest ethical standard and report back all information relevant to smooth running of the business.

Responsibilities
  • Governance: Assist the Facilities and Administration Manager in reviewing, establishing, and adhering to policies and processes for optimal efficiency, compliance and cost containment in facilities management activities.
  • Compliance: Ensure all facilities-related audits comply with regulations and policies. Help supervise the closure of audit findings from Health & Safety, Electrical Safety and Energy Audits. Collaborate with the Health and Safety Executive and Facilities and Administration Manager to implement and ensure adherence to the OSHA Act and Harley’s Health & Safety Policy. Ensure an audit-ready environment for both internal and external audits.
  • Administration: Assist the Facilities and Administration Manager in overseeing facilities needs across all regions and Head Office locations, tracking and reporting progress. Conduct daily facility inspections and supervisory support, coordinate the facilities team to resolve service requests and update cost trackers, ensuring defects are corrected within SLA. To oversee the administration of the contract execution/renewal program, ensuring actions are taken at least three months prior to expiration.
  • Cost Management: Support the development and implementation of a cost-effective facilities management program, including preventive maintenance.
QUALIFICATIONS AND EXPERIENCE
  • A Diploma in Facilities Management, or a related field.
  • A minimum of 3 years of experience in Facilities Management and maintenance.
  • Ability to handle multiple projects simultaneously and meet tight deadlines.
  • Strong knowledge of Facilities Management and maintenance and handling suppliers’ contracts.
  • Knowledge in Project Management.
  • Health and Safety training is a plus.
